Email Setup - Outlook 2003

1. Email Accounts

Once you have Outlook up and running, head up to the menu bar, click 'Tools' then 'E-mail Accounts'.

You should be presented with the below screen. Leave 'Add a new e-mail account' selected and click 'Next'.

3. Server Protocol

You may select from POP or IMAP as the protocol to communicate with our mail servers. The option you choose is largely dependant upon which type of device(s) you plan to access your email on.

  • POP3 (Post-Office-Protocol) Probably the most commonly used method of accessing mail with an email client, POP3 connects to the mail server, downloads all of your e-mails then deletes from the server. This allows you to read and access them offline.
  • IMAP (Internet Message Access Protocol) With broadband, more and more mail services are moving to be able to utilise the power of IMAP. All of your emails are dealt with directly on the server. They aren't deleted from the server unless you explicitly choose to delete them. IMAP is the perfect choice when you need to access your emails on multiple devices such as your home pc, office pc and mobile phone.

4. Account Details

For the purposes of this tutorial we will assume you wish to setup as IMAP protocol. Choose IMAP and click 'Next >'.

Your Name, and E-mail address you will already have, so fill these out accordingly. Server information will be in the form "mail.domain.com" where "domain.com" is the address to your website. Logon information will be sent to you along with other account details for your website. Generally, your user name will be your e-mail address.

5. Additional Authentication

Click the 'More Settings' button seen in the bottom right of the above window, and head to the tab labelled "Outgoing Server".

Ensure that the 'My outgoing server (SMTP) requires authentication' box is checked, as shown in the above image. As the details for outgoing is the same as your incoming, select 'Use same settings as my incoming mail server'. Click 'OK' on that box to return to the 'Internet E-mail settings' page, and click 'Next >' on there.

If all has gone to plan hit finish, and Outlook will retrieve all of your mails.
